Overview: Orders

Once your backers respond to your surveys, the items they receive for their pledge and any add-on items they purchase are referred to as orders.

The order lifecycle

There are several states for orders in BackerKit. Each state corresponds to either the survey or shipping phase of your project and represents where the backer is in the payment and fulfillment flow.

The stages of the order lifecycle are:

  • Open
  • Locked down
  • Paid or Errored
  • Ready to Ship
  • Shipped

Survey stage

The order states in the survey stage cover the time period before your backers pay for their orders.

Order status: open

Once a backer completes their survey, their order is created and the status of the order is open.  

When a backer’s order is open, the backer can do the following to adjust their order:

  • Change their shipping address
  • Add or remove add-on items
  • Add payment information

Order status: locked down

When you’re ready to get a final count of items to prepare for manufacturing, you should lock down your surveys. Locking down surveys prevents your backers from making any further changes to their order and changes the status of the orders to locked down.

Be sure to let your backers know ahead of time that you’re locking down surveys. For more information, see Best practices for backer communication.

You can set a lockdown date for your survey in BackerKit, which lets your backers know the deadline for making order changes. The lockdown date is for information purposes only. Your surveys are not automatically locked down–you must lock them down in BackerKit. For more information, see How do I prevent backers from changing their survey answers?

Note: If a backer hasn’t supplied payment information, you can’t lock down their survey.

When a backer’s order is locked down, the backer can do the following to adjust their order:

  • Change their shipping address
  • Update payment information

After locking down surveys, you can charge credit cards. For more information, see How do I charge credits cards?

Order status: paid/errored

A backer’s order status will change once credit cards have been charged. If payment goes through successfully, the order status will be recorded as ‘paid’. If the payment fails, the backer’s order status will be shown as ‘errored’.

In the case of failed payment, BackerKit automatically alerts the backer and provides instructions on how to update their payment information. For more information, see  Does BackerKit collect failed payments?

When a backer’s order is paid or errored, the backer can do the following to adjust their order:

  • Change their shipping address
  • Update payment information

Shipping stage

The order states in the shipping stage cover the time period after your backers pay for their orders.

Order status: ready to ship

After you finalize the addresses of your backers, their order status changes to ready to ship. Finalizing the address of a backer or group of backers indicates that their items are ready to be delivered.

For example, if you only have a few items that are ready to be shipped, you can finalize the addresses of the backers whose orders contain only those items and begin the process of fulfilling their orders.

Order status: shipped

After you ship a backer all their items, you can change their order status to shipped, indicating that their order is complete.
